Position Title: Administrative Secretary
Title of Immediate Supervisor: Director, CSFS
Salary Range: $41,764 – $61,705 (DOE)
SUMMARY OF POSITION
The Administrative Secretary will support the Director of Community Service and Family Supports (CSFS) by performing administrative and office support activities. Completes administrative functions related to special projects and daily operations.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:
- Word processing, editing, and development of written correspondence
- Coordinate and manage calendars for team meetings, department level trainings and events
- Organize data into written reports and spreadsheets
- Develop presentations including visual aids
- Develop systems for filing and maintaining essential department documents
- Coordinate mass mailing campaigns
- Field telephone calls and responds to inquiries on behalf of CSFS Director
- Receives and directs visitors
- Create and revise office systems and procedures by analyzing operating practices and recordkeeping methods
- Provides backup and primary support in fulfilling the overall responsibilities of the Department of CSFS
- Maintain the track provider insurance requirements
- Maintain supplies inventory by checking stock to determine inventory level and anticipating needed supplies
- As needed represent the department as the lead support staff for any and during agency wide project
- Other duties as assigned
SUPERVISORY RESPONSIBILITIES – This position has no supervisory responsibilities.
QUALIFICATIONS
To perform this job successfully, an individual must be highly skilled in each duty including maintaining timelines and organization. An individual must also be proficient in the use of computer applications. The requirements listed above are representative of the knowledge, skill, and/or ability required. Must be able to work occasionally on weekends and some evenings. A minimum typing speed of 45 wpm. EDUCATION and/or EXPERIENCE
Preferred bachelor’s degree and at least three (3) years of experience; or High school diploma or general education degree (GED), plus five (5) years of related experience and/or training including public contact. An equivalent combination of education and experience may be considered.
